The Problem
Our client, a fast-growing health tech company, had a familiar challenge:
How do you keep people connected when no one shares an office?
As remote work scaled, so did the silos. Team knowledge, culture, and resources were scattered across tools. They needed a single place to unify it all.
Together, we created a custom portal that quickly became the digital home base for hundreds of employees.
And then they asked us to take it further.
The Goal
Our goal was to centralize internal communication and resources into one user-friendly platform. After launching the first version of their digital portal, the platform became a staple in employees’ daily routines.
With its early success, the client came back with a bigger ask: continue building it into a complete digital HQ. One place for all things people, culture, and communication.




PHASE I: BUILDING THE FOUNDATION
The first phase of the project was about laying the foundation for a centralized, easy-to-manage digital portal that supports employee communication, collaboration, and onboarding all built to scale with their growth.
What We Built
Directory
Employees needed a way to find each other fast. We built a searchable directory that lets users browse by name, team, or job role. Each profile displays contact info, reporting structure, location, and even fun facts like birthdays or start dates to help colleagues connect more personally.
Personal Pages
To strengthen cross-department collaboration, we gave every employee a customizable profile page. These highlight skills, responsibilities, and team roles creating a more human way to understand who does what.
Team Pages
Each team got their own digital “hub,” with a space for bios, FAQs, key links, and job openings. Team leads can manage and update these themselves, empowering localized content without dev support.
Glossary
A company-specific glossary ensures everyone—especially new hires—understands internal acronyms and processes. Portal managers can easily update terms as the company evolves, keeping language consistent.
FAQ Section
We organized internal knowledge into clear, searchable categories (HR, marketing, IT, etc.), making it easy for employees to find the right answers when they need them.
Onboarding
New hires are welcomed with a guided onboarding experience that integrates with the company’s Single Sign-On (SSO) provider, Okta. The portal delivers resources, videos, and intros automatically cutting HR workloads and improving new hire engagement.
News & Notifications
Custom news posts, alerts, and team-specific updates keep employees informed. Admins can track opens and engagement, ensuring key announcements are actually seen.



PHASE II: SCALING THE EXPERIENCE
The portal worked so well for them the last couple years that they received requests from department leads for even more features.
Enter Phase II. The Rise of Digital HQ.
Phase II would expand on their portal and deepen employee engagement by introducing more features to connect its people, tools, and culture across offices and time zones.
What We Added
Office Hub with Room Booking
We introduced calendar-integrated room reservation tools where users can view availability, filter by location, and reserve meeting spaces. Admins can customize layouts based on regional office needs.
Department Hubs
Nested under each team, Department Hubs give larger groups their own space to house resources, link out to tools, post internal updates, and share photo galleries all in one branded, easy-to-navigate space.
Appreciation Tools
Remote teams don’t pass each other in hallways so we created ways for recognition to travel digitally.To inspire better connection, we introduced new features like digital “High Fives” and “Thank You” notes that employees can send to colleagues across the org thereby making recognition visible and easy.
Homepage Overhaul
The homepage became a true command center. We added dynamic modules like birthday spotlights, scrolling updates (Chyron-style), team alerts, and teasers for new content.
Performance & UX Enhancements
We cleaned up the backend and frontend to make the portal faster, more intuitive, and easier to maintain. This means fewer bottlenecks for content managers and a smoother experience for every employee no matter the device.
